Cancellation, Rescheduling, Late Arrival & Refund Policy Agreement

New Client Consultations / Appointment Deposits

Your appointment investment is held as a treatment credit and applied toward your service. Reservation credits are non-refundable and may be transferred one time only. Initial Consultations, Facial Balancing, and Saturday appointments are reserved as premium time and require a $150 reservation credit. Any cancellation or request to reschedule must be made at least 72 hours, or 3 days, in advance for the credit to be eligible for transfer. Memberships, paid packages are able to be secured with a card on file and are exempt from this reservation credit requirement unless otherwise stated. Patient Identity

Appointment time is reserved for one specific individual. All forms and consent documents must be completed by the patient receiving services.

Forms

For your convenience and safety, forms are required prior to every appointment. These forms provide helpful instructions on how to prepare for your procedure and include our Appointment Policy so expectations remain clear and your visit runs smoothly.

A new signed consent is required for each procedure performed at each visit, as required by law and practice policy. Electronic signatures and electronic acceptance of this policy may be used and will be treated as valid and binding to the fullest extent permitted by law.

Payment Method Policy

Payment-processing fees may apply depending on the selected payment method and are non-refundable once incurred.

Patients may choose to use cash or Zelle to avoid payment-processing fees.

If cash is used and exact change is not available, any remaining balance will be applied as a credit on the patient’s account for future use.

Communication Requirements

For your convenience, appointments may be managed at any time through your patient portal. You may also text or call our assistant at 404-919-9137 for assistance with appointment management.

These approved methods help us respond quickly, keep your schedule accurate, and ensure requests are properly received. Requests sent through other platforms, including social media or email, are not considered official notice for cancellations or rescheduling, and applicable fees may still apply.

Saturday High-Demand Appointment Policy

Saturday appointments are premium, highly sought-after appointment times with very limited availability. Because these reserved times are held exclusively for you, the standard one-time reschedule courtesy does not apply to Saturday appointments. Any Saturday cancellation or rescheduling request will result in forfeiture of the booking deposit or, if no deposit was collected, a $150 fee.

Final Sale / Refund Policy

All consultations, booking deposits, treatment fees, prepaid services, packages, memberships, and other amounts paid for services are final and non-refundable once purchased, except where required by law. Any courtesy credit, transfer, or accommodation is granted solely at the discretion of the practice and does not create an ongoing obligation or future exception.

Guests

  • To maintain a calm, private, and results-focused environment, we ask that clients attend appointments alone whenever possible.

  • No adult guests are permitted during initial consultations. If someone accompanies you, they must wait outside the treatment room, either in the front waiting area if space allows or in their vehicle. Guests are welcome to enjoy the surrounding shopping center during your appointment.

  • For subsequent appointments, one adult support person may accompany you if desired.

  • Children are allowed at the provider’s discretion. Please notify the office in advance if a child will be attending. For safety and liability reasons, the provider reserves the right to pause or reschedule the appointment at any time if necessary.

Arrival & Solo Provider

• Roielte Aesthetics operates as a solo provider practice.

• If you arrive early, I may not be able to answer the door if actively treating another client.

• If you arrive and the door is locked, please call on the Butterfly System or text 404-919-9137

• If I finish early, I will bring you in as soon as possible.

• You are welcome to wait in your vehicle, in the building lobby, or on the nearby bench if space allows.

• Early arrivals cannot always be accommodated.
