Cancellation, Rescheduling, Late Arrival & Refund Policy Agreement

By scheduling an appointment with Roielte Aesthetics, you acknowledge and agree to the following terms and conditions:

Appointment Commitment

• Your appointment time is reserved exclusively for you.

• Roielte Aesthetics operates on a limited, appointment-only schedule.

• Late cancellations and missed appointments directly impact patient access and clinical operations.

Patient Identity & Appointment Integrity

• Appointment time is reserved for one specific individual.

• All intake forms, medical history forms, and consent documents must be completed by the actual patient receiving services.

• Forms may not be completed by another individual on the patient’s behalf unless legally documented authority is provided prior to the appointment, such as power of attorney or legal guardianship. Please bring the POA document to the appointment for the client chart.

• Substituting another person at the time of the appointment is not permitted.

• Any additional person seeking evaluation or consultation must schedule and pay for their own appointment.

• If these requirements are not met, the appointment may be rescheduled and applicable cancellation fees may apply.

Official Communication Requirement

• All appointment changes, cancellations, or time-sensitive requests must be made by calling or texting 404-919-9137 only.

• Messages sent through email, social media direct messages, Boulevard system replies, or any other platform are not accepted forms of official notification.

• Failure to properly notify via 404-919-9137 will result in applicable fees, regardless of messages sent through other platforms.

• Clients are responsible for saving and using the correct contact number.

Cancellation & Rescheduling Policy (72-Hour Notice Required)

• All cancellations or rescheduling requests must be made at least 72 hours prior to the scheduled appointment time.

• Failure to provide at least 72 hours’ notice will result in a $150 cancellation or rescheduling fee.

• The $150 fee will be charged to the card on file.

• This fee is agreed upon as a reasonable estimate of lost time and operational impact and is not a penalty.

• If a client cancels or reschedules after the 72-hour window, the $150 fee will be charged unless they qualify for the one-time annual courtesy exception described below.

***Saturday High-Demand Appointment Policy

• Saturday appointments are considered premium, high-demand appointment times with limited availability.

• If a Saturday appointment is canceled at any time:

• A $150 fee will be charged to the card on file, OR

• If the appointment was a paid consultation, the $150 consultation fee will be forfeited and will not be refunded or transferred.

• A new consultation appointment will require a new $150 booking fee.

• If a client cancels or reschedules a Saturday appointment more than twice within a 12 month period for any reason, they will no longer be eligible to book future Saturday appointments for the year.

• This policy ensures fairness, schedule integrity, and availability for clients who consistently honor their reserved time.

One-Time Annual Courtesy Exception

• One courtesy exception is permitted per client per calendar year due to illness or emergency.

• If an appointment is canceled within 48 hours due to illness or emergency, the $150 fee may be converted to an account credit only if:

• The client reschedules within 30 days of the original appointment date, AND

• The client has not already used their annual courtesy exception.

• If the appointment is not rescheduled within 30 days, the $150 fee remains charged and non-refundable.

No-Show Policy

• Failure to arrive to a scheduled appointment without proper notice to 404-919-9137 will result in a $150 no-show fee charged to the card on file.

Late Arrival Policy

• Clients arriving more than 10 minutes late may have their appointment shortened or rescheduled at provider discretion.

• If rescheduling is required due to late arrival, the $150 cancellation fee may apply.

Arrival & Solo Provider Policy

• Roielte Aesthetics operates as a solo provider practice.

• If you arrive early, I may not be able to answer the door if actively treating another client.

• If you arrive and the door is locked, please text 404-919-9137 to notify me of your arrival.

• If I finish early, I will bring you in as soon as possible.

• You are welcome to wait in your vehicle, in the building lobby, or on the nearby bench if space allows.

• Early arrivals cannot always be accommodated.

Refund Policy

• All consultation fees, treatment fees, and product purchases are non-refundable.

• Medical aesthetic treatments are elective procedures and results vary by individual.

• No guarantees are made regarding specific outcomes.

Chargeback Policy

  • Any chargeback filed in violation of these agreed terms will be considered fraudulent.

  • We maintain thorough documentation (including signed consents, client communications, and appointment records) to dispute and reverse invalid chargebacks.

  • Clients who initiate a chargeback without valid cause forfeit their right to future services and may be subject to legal action.

  • You further agree to reimburse Roielte Aesthetics for any resulting losses, including chargeback fees, administrative costs, legal fees, and collections, as permitted by Georgia law.
